You can edit the pre-defined layout for emails sent from the software by following the steps below.
Note: Various parts of the email (i.e. Reference number, Customer name etc) are dynamically replaced by the software based on what is being sent, you can change where these dynamic fields go within the text editor and insert new ones using the Insert placeholder dropdown list as explained further down this article.
1. Navigate to Settings > Email templates.
The Email templates page is displayed.
2. Click Edit in the row of the email template you want to change.
The Edit template dialog is displayed.
3. Make the necessary changes to the Subject and Body fields. You can insert a placeholder from the Insert placeholder dropdown list in the Body of the email (placeholders are replaced dynamically by the software when the email is sent). If you want to add a placeholder to the Subject you can just copy the placeholder text, for example [[Document Reference]] to the Subject field.
4. Click Save changes.
The changes to the email template are saved.
Note:
- You can preview the how an email will look based on your changes by clicking the Show preview link. A dropdown panel displaying the email preview will be displayed.
- You can reset the template to the system-defined email template by clicking Reset to default.
